AI for fiduciaries: less data entry, more time for advice

Document extraction, filing, client reminders, preparing reconciliations: we automate this work in Bexio, Abacus, Winbiz or Crésus, exactly as you already use them.

Your team checks instead of re-entering, and handles more clients without year-end closing turning into a race. Approving entries stays human.

What you gain

  • Less data entry

Documents are read and fed into your accounting software. Your team checks instead of re-entering.

  • Documents received on time

What is missing is spotted and requested from the client well before year-end closing gets tight.

  • More clients with the same team

The time freed up goes to advice and client relationships. We do not build a case for cutting headcount.

What we automate

A fiduciary concentrates exactly the kind of work today’s tools can take on: repetitive, high-volume, seasonal. The whole question is where to draw the line.

Area 1 of 3

Supporting documents

Read, file and feed documents into your accounting software.

TaskWhat it changes for youWhat stays human
Document extractionSupplier, VAT, amount and due date are read from invoices and receipts, then fed into Bexio, Abacus, Winbiz or Crésus.Systematic on flagged cases: OCR does not claim 100% accuracy, and poor-quality documents still have to be handled.
Document filingIncoming documents are sorted by client, by period and by type, with no handling.Occasional, by spot check, once the rules have settled.

Area 2 of 3

Entries and reconciliations

Prepare the accounting work, without ever approving it for you.

TaskWhat it changes for youWhat stays human
Pre-categorising entriesAn account allocation is suggested from the client file’s history: you approve instead of searching.Non-negotiable. The suggestion remains a suggestion, and responsibility for the entry cannot be delegated.
Preparing reconciliationsTransactions are matched and discrepancies are flagged to you.Ruling on every flagged discrepancy.

Area 3 of 3

Client reminders

Get documents on time, without spending your days on it.

TaskWhat it changes for youWhat stays human
Missing documentsWhat is missing is detected for each client file, and the client is reminded at the right time.Approval before sending, at least for the first cycles.
DeadlinesClients receive a reminder before the deadlines that concern them: year-end documents, VAT returns. The calendar and the tone of the messages.

Your task is not on the list? These tasks are examples, not a closed list: preparing payroll data, collecting documents for tax returns, onboarding a new client, client reporting. If a task is repetitive and follows rules, it is worth a look.

What stays under your control: the nFADP, the AOA and professional secrecy

Approving entries stays human, and responsibility for an entry, a VAT return or a year-end closing cannot be delegated.

Under the nFADP (Swiss data protection act) and the AOA (Swiss Auditor Oversight Act), a workable framework comes down to three conditions. Processing in which the data stays within a controlled perimeter, with an identified processor and a written retention policy. An architecture in which client documents do not pass through a consumer service. And a record of what the tool suggested and what a professional then approved.

What we do not do, however good the tool:

  • Delegate responsibility for an entry, a VAT return or a year-end closing to a model.
  • Put identifiable client data into a tool when nobody knows where it hosts the data or how long it keeps it.
  • Get round a control obligation on the grounds that the observed error rate is low.

How it works

Three steps, almost all by video call. You decide after seeing what needs doing and what it costs.

  1. A 30-minute call

Free, no offer during the call. Afterwards you receive a written summary: 2 or 3 priorities, the time you could get back and how hard it would be to set up.

  2. A quote before we start

Straight away if you know what to automate, after a process audit if not. You know the price before anything starts. See our pricing.

  3. Implementation in 2 to 6 weeks

In your tools, with the person who does the task. We then check the time actually saved. Never during year-end closing.

Frequently asked questions

Who is responsible if an entry suggested by the tool is wrong?

You are, as you are today. That is precisely why pre-categorisation remains a suggestion subject to approval, not an entry posted automatically. No tool, and no provider who installs it, takes that responsibility on.

Do we need to change accounting software to automate?

No, in the vast majority of cases. We work with Bexio, Abacus, Winbiz or Crésus as they are installed. If an integration is not possible, we say so rather than propose a migration that would cost more than the intended gain.

Our clients send documents any old way: photos, emails, scanned paper. Does it still work?

Yes, it is actually the most common case. The tool reads what arrives and flags what it cannot read with certainty. Those documents go back to your team, as they do today, but they are only part of the volume.

What do you tell a team that is worried about being replaced?

The truth, which can be checked within six months: the work that disappears is data entry and filing, not advice or client relationships. A fiduciary whose staff spend less time on documents handles more client files with the same team.

When is the right time of year?

The diagnostic in the busy season, when the pain points are visible, and the go-live in the quiet period that follows. A go-live in the middle of year-end closing fails, not because the tool does not work, but because nobody has time to adopt it.

Does our client data stay in Switzerland?

It is an architecture choice, settled before implementation. Depending on the tools chosen and how they are hosted, the answer changes. We put it in black and white in the proposal.

How many hours a month does your team spend on data entry and filing?

In 30 minutes, we spot what can be handed over in your accounting software, taking your year-end closing calendar into account. You leave with the priorities, whether you work with us or not.
