AI for property management: manage more properties with the same team

Tenant requests to sort, contractors to chase, owners to keep informed: we automate this work in your email and your property management software, as you already use them.

Your managers spend less time sorting and chasing, and more time on decisions. Choosing tenants and decisions on works stay human.

What you gain

  • More properties, without hiring

Sorting, assigning and follow-ups no longer grow at the same pace as the portfolio. The goal is not to replace your managers, but to stop them being overwhelmed.

  • Tenants who call back less

They receive an acknowledgement, then updates on their request, without anyone having to think about it.

  • Nothing forgotten with contractors

Every repair is followed up until closure, invoice included.

Sorting requests relies on the same mechanism as sorting emails, measured on a real inbox: sorting emails with AI, 1,592 emails in 17 seconds.

What we automate

A property management company juggles tenants, contractors, owners and re-letting. Each area has its own tasks; the logic stays the same: the tool prepares, your team decides.

Area 1 of 4

Tenant requests

Sort requests, assign them and keep the tenant informed.

TaskWhat it changes for youWhat stays human
Sorting requestsEvery request is sorted (breakdown, damage, noise, administrative) and linked to the right building and tenant, whatever the channel.Spot checks. Emergencies are always flagged to a person immediately.
AssignmentThe request reaches the manager responsible for the building, with its history.Manual reassignment where needed.
Keeping the tenant informedThe tenant receives an acknowledgement, then updates until closure. You approve the message templates. Sensitive replies are written by your team.

Area 2 of 4

Repairs and contractors

Pass on repair requests and follow them up until closure.

TaskWhat it changes for youWhat stays human
Work ordersThe order goes out with the relevant details: address, access, description of the problem, tenant contact.Choosing the contractor and approving quotes.
Chasing contractorsContractors with no reply or no visit date are chased automatically.Deciding what to do if a contractor still does not reply.
Checking invoicesEach invoice is matched with the job ordered, and discrepancies are flagged to you.Approving discrepancies and the work carried out.

Area 3 of 4

Owners

Follow up with owners and prepare their reports.

TaskWhat it changes for youWhat stays human
ReportsRecurring reports and the history for each building are ready, without piecing them together.Review. Recommendations remain the manager’s.
Pending approvalsOwners are chased for pending approvals on works, with the file attached.Recommendations and negotiation.

Area 4 of 4

Re-letting

Gather application files and organise viewings.

TaskWhat it changes for youWhat stays human
Application filesYou only receive complete files: missing documents are requested from applicants.Non-negotiable: choosing the tenant stays human, with no automatic ranking of applicants.
ViewingsTime slots are offered and confirmed to applicants automatically.Occasional.

Your task is not on the list? These tasks are examples, not a closed list: reminders for unpaid rent, scheduling inspections, the administrative follow-up of terminations, preparing data for service charge statements, filing documents by building. If a task is repetitive and follows rules, it is worth a look.

What stays under your control: decisions and tenant data

Decisions stay with your managers: choosing a tenant, committing to works, the relationship with owners, disputes.

The nFADP (Swiss data protection act) applies in full: a property management company processes personal data in volume, including, for applications, sensitive documents such as debt enforcement register extracts. Hence processing within a controlled perimeter, with an identified processor and a written retention policy, application files kept only as long as necessary, and a record of what the tool prepared and what your team then approved.

What we do not do, however good the tool:

  • Let a tool rank or reject applicants.
  • Send a reply about a dispute, a termination or damage without review.
  • Put tenant data into a tool when nobody knows where it hosts it or how long it keeps it.

How it works

Three steps, almost all by video call. You decide after seeing what needs doing and what it costs.

  1. A 30-minute call

Free, no offer during the call. Afterwards you receive a written summary: 2 or 3 priorities, the time you could get back and how hard it would be to set up.

  2. A quote before we start

Straight away if you know what to automate, after a process audit if not. You know the price before anything starts. See our pricing.

  3. Implementation in 2 to 6 weeks

In your tools, with the person who does the task. We then check the time actually saved.

Frequently asked questions

Do we need to change property management software?

No. We work with your email, your property management software and your spreadsheets, as they are. If a tool allows no connection at all, we say so during the call rather than propose a migration.

Will tenants end up talking to a robot?

Not unless you want them to. In most cases the automation works behind the scenes: it sorts, notifies the right manager and sends progress messages you have approved. The conversations that matter stay with your team.

What about emergencies: water damage, heating failure?

They are never put in a queue. A request recognised as urgent is flagged immediately to the manager or the on-call service, according to your rules.

Can AI be used to sort application files?

To check that a file is complete and request what is missing, yes. To rank or reject applicants, no: choosing the tenant stays human, and we do not build automatic scoring.

How long before we see a difference?

A first automation is set up in 2 to 6 weeks, on a limited scope to begin with, often request sorting. The gain is measured over several weeks of real activity, not in a demo.

Does our tenants’ data stay in Switzerland?

It depends on the tools chosen and how they are hosted. The choice is made before implementation, with the nFADP in mind, and it is written down in the proposal.

How many tenant requests does your team handle by hand every week?

In 30 minutes, we spot where your managers lose time and what can genuinely be simplified. You leave with the priorities, whether you work with us or not.
